ALL CLUBS ARE ADVISED THAT THE ABOVE FINES ARE TO BE PAID DIRECTLY TO THE TREASUER WITHIN 14 DAYS OF THE RECEIPT OF THESE MINUTES. NO SEPARATE INVOICE WILL BE SENT

REPORTS

Hon Gen Secretary

    1. Affiliation Process          The new style application was discussed and the feedback from the majority       of clubs has been extremely positive. The process has been relatively simple with only a few teething problems, which were ironed out with the support of the webmaster. Now that all the applications have been finished, invoices will be sent to all clubs to advise of the affiliation fees for the coming season, which need to be paid on or by the AGM on 21st June. A few suggestions have been made around the process, which have been forwarded to the webmaster for review for next season.

    1. New Club Interviews     The following new clubs have applied to join the league and have all completed an application form - AFC Stopsley, Kempston All Stars FC, Lewsey Park Youth FC, Linslade Galaxy FC, Meltis Corinthians FC, Modern FC, Sporting Leagrave FC, Team BYL FC & West Bletchley FC. A “new club interview” has been set up to be held at 8pm on 9th June at the Beds FA Offices and all new clubs have been requested to attend.
    1. AGM                                     Plans were discussed for the AGM, with nominations made for the recipients of some of the awards. Awards are to be given to teams in each age group based on their sporting marks and in a new initiative, to referees for recognition of their work over the season. The structure of the evening was discussed and agreed

    1. Handbook                           Plans are well under way for the completion of the handbook. The webmaster requested any feedback or suggestions from the committee as to style of content and any new ideas. It was suggested that a greater focus could be made of the fact that the CYFL is a RESPECT league – this is to be explored

    1. Registration Evenings    It was agreed to commence this on Thursday 8th July and run for 6 weeks until Thursday 12th August, to meet the registration deadline. Venues to be announced, but it was hoped to be able to secure venues in Dunstable, Kempston, Leighton Buzzard and Barton – dates and times to be confirmed

AM Fixture & Referee Secretary

    1. Cup Finals                           Thanks were recorded to Maulden for the use of their ground for the Under 11 & Under 12 League Cup Finals. Their organisation & support provided a good facility for the finals, which was appreciated by both the league and the teams on the day

    1. Fixtures                               All fixtures have now been completed and those teams who have finished either as winners or runners up are invited to contact AM Fixture Secretary to arrange collection of their trophies

    1. Additional Trophies       The Chiltern Youth Football League will supply 16 trophies to each team either winning or coming runner up in their division. Additional trophies for those who require more than 16, can be purchased from the supplier, MBS Trophies on 01525 404274.

PM Fixture & Referee Secretary

    1. Cup Finals                           These proved to be a success and thanks were expressed to all who were involved in making the weekend so successful, as well as to Luton Town for hosting the event. Currently awaiting an invoice for the costs incurred through the weekend, although it is likely that the event will cost approx. £1200. This year it had been agreed that no money would be charged on the gate and that programmes would be free as well. Potentially a charge could be made at the gate next season, if the same format is to be agreed. A review session with Luton Town is to be held over the summer to discuss the event. It was suggested by the committee that concerns be raised over the sale of alcohol during the event as it was felt that this could have been a contributory factor in the couple of incidents which partly soured the Sunday afternoon. However, other than that, the event had proved to be hugely enjoyable

    1. St Joseph Youth V Leighton Town Youth (Under 16)        It was reported that St Joseph Youth had requested 3 officials be appointed for this fixture. This was actioned, but on the day, no payment was made to the assistant referees by St Joseph Youth and these fees had been paid by a committee member. Thanks were expressed to Keith Swain and the treasurer is to send an invoice to St Joseph Youth to cover the cost of these additional officials. Keith Swain to be re-imbursed by the league.

    1. Sharnbrook Casuals V Hexton Youth (Under 16)                               Dean Haywood who officiated at this match expressed his pleasure at the spirit that the game was played in, considering that it was a play off game. The committee were pleased to receive this feedback and passed on their thanks to both teams for the sportsmanship shown

Registrations Secretary

It was agreed to continue with the existing format of registration of players (with a couple of amendments). The forms will be adapted to capture the address of the players and also to encorporate a signature for players, parents and club officials to sign up for the Codes Of Conduct within the RESPECT Campaign. The suggestion was to build all this information into one booklet style document for simplicity. All players will still require an ID card, detailing which team and age group they are playing for / in and also containing an up-to-date photograph of the player. Registration packs are to be distributed at the AGM

Treasurer

    1. The Balance Sheet for the financial year just passed was circulated to the committee and reviewed This is to be circulated to all clubs in preparation for the AGM
    1. The Treasurer explained that owing to a change in the payment timings of the end of season trophies and the income received from the affiliations for the coming season, currently the immediate cash flow was lower than had previously been experienced at this time of season. This would be corrected once the affiliation fees are received

ANY OTHER BUSINESS

The Chairman thanked everyone for their hard work through the season, which had reached a successful conclusion

Thanks were offered to Vic Shekle for his work in manning the Results Hotline and collating scores through the season

RESPECT Barriers – the league are still in possession of a number of barriers, which are currently being held in storage. It was agreed to have a supply of these available for the new club interviews and also for the AGM, where clubs would be encouraged to purchase sets in preparation for the 2010 – 2011 season, where the potential rule change concerning the use of the barriers would come into force

A question was raised over the distance of Junior pitches from Senior Pitches – were there any guidelines as to what is acceptable. Currently no such guidelines are in place

In the absence of the Webmaster, the subject of his expenses were discussed as none had been claimed for the season so far. It was agreed that these should be paid

It was reported that the Auditor had not claimed a fee for his work in reviewing and auditing the CYFL accounts for last season. It was agreed that a donation of £250 be made to the Auditor’s chosen charity – The Stroke Association
